12 Questions to Ask Your Web Developer Before They Build Car Rental Booking

Quick answer: Before a web agency builds online booking for your rental company, ask whether renters will see live availability per car, the full price and a way to pay, where the money and the bookings go, how the deposit is taken and refunded, what stops double bookings, which emails go out, who maintains it and at what yearly cost, and who owns the code and data. If most answers are "you'll get an email", you are buying an inquiry form.

Web agencies are good at websites. Booking for a rental company is a different job: it is software that has to know your fleet, your prices and your calendar. A lot of agencies build a nice-looking form and call it online booking, and they mean it in good faith.

These twelve questions make the difference visible before you pay. Each one has the answer you want to hear.

About what the renter gets

1. When a renter picks dates, will they only see cars that are actually free?

Good answer: yes, from the same calendar my staff use, including cars blocked for service.

Warning sign: "you'll get the request and can confirm it."

2. Will the renter see the full price before they book?

Good answer: yes, with longer-rental rates, seasons, extras, insurance, fees and VAT, from a price list I can change myself.

Warning sign: "we'll show the daily rate" or "you send them a quote."

3. Can the renter pay online, and into whose account?

Good answer: yes, into my own payment account, full amount or an advance per car class.

Warning sign: no payment, or a payment that doesn't know which booking it belongs to.

4. How is the security deposit taken, and how do I give it back?

Good answer: it is shown before payment, taken with the booking or as a hold, and I refund it from the booking after return.

Warning sign: nobody had thought about it.

About what happens behind the page

5. What stops two people booking the same car?

Good answer: availability is checked again at the moment of payment, and the second person is told the car is gone.

Warning sign: "that would be very unlikely."

6. Where does the booking go?

Good answer: straight into my booking calendar, with the payment attached.

Warning sign: "to your inbox."

7. Which emails go out automatically?

Good answer: a confirmation to the renter with the price and terms, a notification to me, and reminders I can switch on.

Warning sign: a "thank you for your message" email.

8. How do contracts and terms work?

Good answer: the renter accepts my terms at booking, and the contract is generated from my template with their details and can be signed online.

Warning sign: "you print the contract at pickup like now."

9. Can my staff take phone bookings in the same system?

Good answer: yes, phone, walk-in and website bookings share one calendar.

Warning sign: the website has its own list that someone copies over.

About cost and ownership

10. What will it cost each year after launch?

Maintenance of custom software is commonly put at 15 to 20% of the build cost a year. Ask for the figure in writing, and ask what counts as a change: a new extra, a new season, a second location.

Good answer: a clear yearly fee, and price and fleet changes I make myself without paying for them.

Warning sign: "we'll quote changes as they come."

11. What happens when the payment provider changes something?

Payment providers update their APIs and card security rules. Someone has to keep the integration working.

Good answer: it's included in maintenance, and here's who does it.

Warning sign: a pause.

12. Who owns the code and the booking data, and can I export it?

Good answer: I do, and I can export bookings and customers whenever I want.

Warning sign: the data lives on the agency's server with no export.

Frequently asked questions

What should I ask a web developer before they build booking?

Whether renters see live availability and the full price, whether they can pay and into whose account, how deposits are refunded, what stops double bookings, where bookings go, what emails go out, what upkeep costs per year, and who owns the code and data.

Can my web agency add a booking system instead of building one?

Yes. Nomora's booking blocks go into any site that accepts a script, and there is a WordPress plugin. The agency styles them with the site's colours.

How do I know if the quote is for a form or a booking system?

Ask what happens after the renter presses Book. If you receive an email and confirm by hand, with no payment and no availability check, it is an inquiry form.
