50 ChatGPT Prompts for Car Rental Businesses (2026)
25 prompts that work in any ChatGPT or Claude account, and 25 that only work when the assistant can see your rental software. Plus why the second set gives real numbers and the first set guesses.
Quick answer: ChatGPT prompts for a car rental business fall into two groups. Writing prompts for policies, review replies, damage disputes, ads and translations work in any ChatGPT or Claude account. Prompts about your own bookings, money and cars only give real answers when the assistant is connected to your rental software, for example through Nomora's connector, because then it reads the figures instead of guessing.
Rental work is half writing, which ChatGPT and Claude do well out of the box, and half questions about your own fleet. Which cars are free on Saturday? Who hasn't paid? A chat assistant can't answer those unless it can see your rental system.
Prompts 1 to 25 work anywhere. Prompts 26 to 50 need the assistant connected to your rental software, here Nomora's connector, because that's the one we build.
Why the two halves behave differently
Ask a plain ChatGPT "how much did we earn in October?" and it has nothing to look up. It says so, or fills the gaps with numbers that sound right. A pasted export helps, but it's a snapshot you made by hand, and long tables are where language models miscount.
A connected assistant calls a tool in your rental software and writes up the figure it gets back. Prices come from your price list, with location fees and VAT. A booking it creates goes through the same checks as one made in the app, so a car that's already booked gets refused.
It can still misread your request. That's why changes wait for your approval. It doesn't make up the data.
Our rule of thumb is part A for words, part B for facts.

Part A: prompts that work in any ChatGPT or Claude
Replace the [brackets] with your real details. A policy written for "a car rental company" reads like it was written for nobody.
Rental policies
"Write a fuel policy for my car rental in [city]. Cars go out [full / at the level on the contract]. Short returns cost [price per litre or fee]. Under 120 words, readable on a phone."
"Write a late return policy. Grace period [minutes], then [amount] per hour, then a full extra day after [hours]. End with one line asking customers to call if they're late."
"Draft a cancellation policy: free up to [days] before pickup, [percent] fee after, no refund for no-shows. Add a two-sentence version for the booking page."
"Explain our [amount] security deposit in plain words: held on [card type], released [timeframe] after return if there's no damage. Answer the three questions customers ask most."
Damage disputes and reviews
"A customer disputes a damage charge. Facts: [damage], found at return on [date], photos at pickup and return, [amount] under clause [number]. Write a firm, polite reply that sets out the evidence without apologising for the charge."
"Explain the difference between our [amount] deductible and the full repair cost, for a customer who thinks insurance means they pay nothing."
"Reply to this [stars]-star Google review. Answer the specific complaint, say what we changed if anything, under 80 words, no template tone: [paste]"
"Write five replies to positive reviews about a clean car, fast pickup, airport delivery, friendly staff and a fair price. None may start with 'Thank you for'."
Photos win damage disputes. Vehicle inspection software keeps them on the booking instead of on staff phones.
Google Business posts and ads
"Write four Google Business Profile posts for next month for a car rental in [city]: one on [event or season], one on our [model], one driving tip for [country], one offer: [offer]. Under 150 words each."
"Give me 15 Google Ads headlines of at most 30 characters and 4 descriptions of at most 90 for [service]. Count the characters and mark any that go over."
"Write a Facebook ad for [offer] aimed at [audience]. Three versions: short, question opener, price first."
"Rewrite this car description for our booking page: who it suits, luggage, fuel and gearbox, no hype: [paste]"
Pricing analysis from a pasted export
"Here is our bookings export for [period]: [paste]. Show bookings and average daily rate by class and month, and tell me which look underpriced given demand."
"Here are my rates and three competitors' rates for the same classes and dates: [paste]. Where am I more than 15% cheaper? Where am I most expensive? Don't suggest prices yet."
Check the totals against your system, and ask how many rows it read.
Terms and conditions
"Draft rental terms for a car rental in [country] covering drivers, deposit, fuel, mileage, cross-border travel, damage, fines, late return and cancellation. Plain language. Mark clauses where local law could change the answer."
"Write a cross-border clause. Allowed: [countries], with written permission and a [amount] fee. Not allowed: [countries]."
These are drafts. Have a lawyer in your country check them before customers sign. The model won't tell you when it gets local law wrong.
Staff checklists
"Make a one-page handover checklist with checkboxes: documents to check, what to show in the car, photos to take, what to say about fuel and return time."
"Make a return checklist for a [car type]: exterior, interior, fuel, mileage, keys, accessories, and what to do about new damage."
"Write a phone script for new staff answering 'do you have a car on [dates]?', including what to ask and how to handle 'that's too expensive'."
"Plan the first week for a new staff member at a [number]-car rental company, day by day."
Translations and customer messages
"Translate this customer message into English, tell me in one line what they want, then draft a reply in their language: [paste]"
"Translate our booking confirmation into [languages]. Keep placeholders like [customer name] unchanged and flag phrases that translate badly."
"Write pickup instructions for [location]: where to meet us, what to bring, what happens if the flight is late."
"A customer asks to take the car to [country]. Our rule is [rule]. Write a short reply."
"Turn these notes into 10 website FAQ entries with short answers: [paste]"
Part B: prompts that need your rental software connected
These need the assistant to reach your data. With Nomora that's the Nomora connector for ChatGPT and Claude, included in every plan. Add it as a custom connector in Claude or a custom MCP server in ChatGPT, then sign in and pick your company. The setup guide has every click.
Anything that changes data shows you the action and waits for approval, unless you've set that action to "always allow".
Bookings
"Which cars are free this weekend?" Free cars per class, and whether your Guest Book would accept those dates under your booking rules.
"What does a compact cost for 5 days from Friday, airport pickup?" A quote from your price list with the location fee and VAT.
"What pickups and returns do we have tomorrow?" Bookings in that date window.
"Why does booking 142 cost €410?" Opens the booking and explains the price.
"Book the RAV4 for Jonas, 3 to 7 December." Creates it after you approve. If the RAV4 is taken, Nomora refuses.
"Accept today's booking requests." Accepts each waiting request with a payment link, or accepts and confirms it, as you approve.
"Block out the Kia on Friday for new tyres." Nobody can book it that day.
"Cancel booking 156, the customer's flight was cancelled." Cancels with a reason from your list.
Money
"How much did we earn in October?" Revenue for the month.
"Who still owes us money?" Outstanding balances by customer.
"Which payments are overdue?" Overdue payments with amounts.
"Record Laura's €200 bank transfer." Writes the payment into Nomora. It charges nothing.
"Create a €300 card payment link for booking 142." A link the customer pays by card.
"Which car earned the most this year?" Earnings per vehicle.
"Who were our best customers this year?" Top clients by revenue or bookings.
Fleet
"What's the fleet status right now?" Available, rented and in maintenance.
"Which cars are due for a service?" Maintenance due by date or kilometres.
"Log this garage invoice as maintenance on the Octavia." Saves parts, labour and cost on the car.
"What was our utilization last month?" Utilization from your bookings.
"Set the SUV class to €65 a day." Updates class pricing after you approve.
Admin
"Add the expenses in this file that are missing." Skips ones already recorded, logs the rest.
"Text everyone picking up tomorrow a reminder." SMS to up to 50 recipients with placeholders. SMS must be enabled and is billed per message.
"Make the rental contract for Laura's booking." Generates it from your template and saves it on the booking. Sending and signing stay in the app.
Booking emails
These need Gmail or Outlook connected to the same assistant through ChatGPT's or Claude's own connectors.
"Answer this morning's booking inquiries." Checks free cars for the requested dates and quotes your price list. Then it replies with your Guest Book link, dates and class filled in, or creates the customer and booking and replies with the customer link, where the customer fills in details, signs and pays.
"Every hour, check for new booking inquiries and handle them the same way." Claude and ChatGPT can run this on a schedule. Each change still asks for approval unless always allowed.
Give it your rules. "Write a cancellation policy" gets a generic one. "Free until 48 hours before, 50% after" gets yours.
Use the names your system uses. "The RAV4" works if you have one. If you have three, give the plate.
Write dates in full. "3 to 7 December" leaves less to work out than "Wednesday to Sunday next week".
Ask how it got a number. In part A it catches paste errors. In part B it makes the assistant say what it looked up.
Read the approval before you click. Check the car, dates and amount. It's your last check.

What the connected prompts can't do
Pickup and return, invoices, file uploads and sending documents for signature stay in the Nomora app. Inspections run in the app on a phone. Only organization admins can connect, and the assistant sees one company at a time. Staff who just want fleet answers can use Nomora AI, built into the app.
What are the best ChatGPT prompts for a car rental business?
The ones that contain your own rules, like your deposit, fuel policy and tone. Writing tasks work in any ChatGPT or Claude account. Questions about your bookings, prices and balances need the assistant connected to your rental software.
Can ChatGPT see my bookings?
Not by default. It can only read them if your rental software has a connector and you've connected it. Nomora's connector works with ChatGPT, Claude and Grok and is included in every plan.
Do these prompts work in Claude too?
Yes, all 50. The part B prompts need Nomora connected to Claude, the same way as to ChatGPT.
Can I trust ChatGPT's numbers about my rental business?
From a connected assistant, yes, because the figures come from your rental software. From a pasted export, check the totals yourself, since language models can miscount long tables.
Can ChatGPT write my rental terms and conditions?
It can write a good first draft from your rules. Have a lawyer in your country review it before customers sign, because the assistant doesn't reliably know local consumer law.
